V360 PRIVACY POLICY

Voice 360 (“Voice 360,” “Company,” “we,” “us,” or “our”), operated by Fitness Providers LLC, operates voice-360.com (the “Sales Site”) and members.voice-360.com (the “Member Site”) (together, the “Service”). This Privacy Policy explains how we collect, use, disclose, protect, and retain information in connection with the Service.

U.S.-focused service. We primarily offer the Service to users located in the United States.

1) Scope

This Policy covers the Sales Site, the Member Site, our related subdomains and tools, community areas, messaging features, lesson scheduling systems, and email or other communications we send relating to the Service. It does not apply to third-party websites, platforms, or services that we do not control.

2) Summary for Families

  • Parent-managed accounts only. Parents or legal guardians create and manage accounts for minors. Children do not self-register.
  • Under-13 restrictions. Users under 13 may not directly message, comment, or upload content through the Service. If a submission is needed for an under-13 child, only the parent or guardian may submit it on the child’s behalf through permitted tools or channels.
  • Limited community features. The Service may include limited, members-only news-feed or community features such as announcements, posts from the Voice 360 team, and reactions where enabled. These are controlled community spaces, not open public forums.
  • Private messaging. Private messaging may be available between an eligible parent, guardian, or eligible student and an instructor, subject to age settings, parental controls, and our safety rules.
  • Uploads are optional. We do not require audio or video uploads, but uploads may be available for parents and eligible users age 13 or older where enabled.
  • No retargeting ads. We do not use the Service for cross-context behavioral advertising or retargeting.
  • Parents may request access, correction, or deletion of account information, subject to applicable law and operational limits.

3) Information We Collect

We collect information in the following ways:

  1. a) Information you provide directly.
  • Adult account-holder information, such as name, email address, billing details, ZIP code, time zone, and purchase history.
  • Student and family information needed to provide the Service, such as student first name or preferred name, age or age band, goals, lesson interests, scheduling preferences, and state or program information if ESA or school-choice funding is involved.
  • Lesson-related information, including lesson package purchases, scheduling details, attendance status, make-up credit records, notes, support tickets, and communications with us.
  • Content you choose to submit, such as private messages, permitted uploads, files, recordings, or form submissions.
  • Newsletter sign-up information, blog-related inquiries, and customer support communications.
  1. b) Information collected automatically.
  • IP address, browser type and version, device identifiers, operating system, approximate geolocation derived from IP, page views, navigation paths, timestamps, session data, login activity, and diagnostic logs.
  • Essential and functional cookies, cache data, and similar technologies used for login, security, preferences, performance, and basic functionality.
  1. c) Information from third parties.
  • Payment processors such as Stripe.
  • Lesson-management, scheduling, and administration tools such as My Music Staff.
  • Membership, community, and site-management tools such as MemberPress and BuddyBoss.
  • ESA and school-choice platforms such as EMA / MyScholarShop, ClassWallet, Odyssey, TheoPay, and similar programs or marketplaces.
  • Email, hosting, caching, and related service providers such as Mailchimp, Hostinger, LiteSpeed, and QUIC.cloud.
  • Social media, directories, referral sources, or other third-party platforms if you contact us through them or follow links to the Service.

4) How We Use Information

  • Provide, manage, secure, and improve the Service, including digital memberships, self-paced content, live lessons, scheduling, lesson fulfillment, customer support, and community features.
  • Process payments, issue or administer refunds where applicable, maintain records, and manage billing, nonpayment, chargebacks, ESA approvals, reversals, clawbacks, and eligibility reviews.
  • Assign, schedule, and support lessons fulfilled by affiliated contractor instructors or affiliated brands operating within the Voice 360 ecosystem.
  • Communicate with you about account activity, updates, scheduling, security alerts, technical issues, service changes, and customer support requests.
  • Moderate messages, uploads, community areas, and safety-sensitive features; enforce our Terms, child-safety policies, and platform rules.
  • Detect and prevent fraud, misuse, noncompliance, security incidents, and other harmful activity.
  • Comply with legal obligations, respond to lawful requests, and protect our rights, users, instructors, and business operations.

5) How We Share Information

We do not sell personal information or share it for cross-context behavioral advertising. We may disclose information in the following limited ways:

  1. a) Service providers and processors.
  • Hosting, caching, and technical providers such as Hostinger, LiteSpeed, and QUIC.cloud.
  • Payments processors such as Stripe.
  • Membership, community, and site-management providers such as MemberPress and BuddyBoss.
  • Email and communications tools such as Mailchimp.
  • Lesson scheduling, lesson administration, and studio-management providers such as My Music Staff.
  • Analytics, security, or support providers as reasonably needed to operate the Service.
  1. b) Affiliated instructors, contractors, and fulfillment brands.

Because Voice 360 sells live lessons that may be fulfilled through affiliated contractor instructors and affiliated brands within the Voice 360 ecosystem, we may share the information reasonably necessary to schedule, deliver, support, supervise, transition, or reassign lessons. This may include student name, guardian contact details, scheduling information, lesson goals, age-relevant information, payment status, ESA status, and related administrative records. Affiliated instructors, contractors, and fulfillment brands may use this information only as reasonably necessary to schedule, deliver, support, supervise, transition, or administer lessons and must handle it in accordance with Voice 360’s policies, applicable law, and their confidentiality obligations.

  1. c) ESA and school-choice platforms.

If you use ESA or similar school-choice funding, we may disclose information as needed to verify eligibility, request or document payment, process required refunds, respond to reversals or clawbacks, or otherwise administer the funded purchase. We may also receive approvals, denials, reversals, payment updates, and other status information from those programs.

  1. d) Legal, safety, and business transfers.
  • We may disclose information when reasonably necessary to comply with law, regulation, legal process, court order, or lawful request from authorities.
  • We may disclose information to protect the rights, property, or safety of students, families, instructors, contractors, Voice 360, Fitness Providers LLC, or others.
  • If the business or Service is reorganized, sold, transferred, merged, or otherwise involved in a business transaction, information may be transferred as part of that process subject to appropriate safeguards.

6) Children’s Privacy & COPPA

  • Parent-managed accounts only. Parents or guardians must create and manage accounts for children. We do not knowingly permit children under 13 to self-register.
  • Under-13 users may not directly message, comment, or upload content through the Service. Parents or guardians may submit content on behalf of an under-13 child where permitted.
  • We do not knowingly collect personal information directly from a child under 13 without parental consent or another lawful basis where required.
  • If we learn that a child under 13 has provided personal information directly to us without the required permission, we will take reasonable steps to delete it or otherwise address the issue as required by law.
  • Parents may contact us to request access to, correction of, or deletion of a child’s account information, subject to legal and operational requirements.
  • We do not use targeted advertising or retargeting technologies on the Service.

7) Community, Messaging & Upload Features

  • Some parts of the Service may allow limited community/news-feed viewing, reactions, private messaging, or uploads. Availability depends on age settings, parental controls, and platform configuration.
  • Information visible within limited community or account areas may include profile name, display name, posts from the Voice 360 team, and reactions or other limited interactions where enabled.
  • We may moderate, restrict, remove, or disable content or features in our discretion to support safety, compliance, and proper operation of the Service.

8) Cookies & Similar Technologies

We use essential and functional cookies and similar technologies for authentication, session management, security, preferences, caching, and core Service functionality. We may also use limited analytics or performance tools where appropriate and permitted by law. You can control cookies through your browser settings, though blocking certain cookies may affect how the Service functions. Where applicable, we honor Global Privacy Control (GPC) signals and any consent choices we make available.

9) Data Retention

  • Account and customer-service information: generally for the life of the account and for a reasonable period afterward for troubleshooting, records, or enforcement.
  • Purchase, billing, tax, and refund records: generally up to seven (7) years or as otherwise required by law.
  • Security and activity logs: typically up to twenty-four (24) months.
  • Support messages, moderation records, and lesson-related records: as reasonably needed for service delivery, compliance, dispute resolution, and protection of the Service.
  • Backups and cached copies may persist temporarily and be purged on a rolling schedule.

10) Security

We use administrative, technical, and organizational safeguards appropriate to the nature of the information, including HTTPS encryption in transit, role-based access, account controls, backups, and operational security practices. Access to customer and student information is limited to authorized personnel, approved contractors, or service providers with a legitimate business need. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

11) Your Privacy Rights

Depending on your state of residence and applicable law, you may have rights to access, correct, delete, or obtain certain information, and to appeal a denied privacy request. Parents may exercise available rights on behalf of their child. We do not sell personal information or share it for cross-context behavioral advertising. To submit a privacy request, email info@voice-360.com with enough information to verify your identity and relationship to the account.

12) Data Deletion & Processor Requests

When we honor a deletion request, we remove information from our active systems and instruct our processors and relevant service providers to do the same where required and feasible, subject to legal obligations, fraud prevention, accounting recordkeeping, dispute resolution, safety obligations, and technical limitations such as backup cycles.

13) International Data Transfers

We operate in the United States. If you access the Service from outside the U.S., your information may be transferred to, stored in, and processed in the United States or other countries where our service providers operate.

14) Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we may provide notice by email, banner, account notice, or other reasonable method. The updated version will indicate the effective date at the top.
